1. Introduction
HopMembers ("HopMembers," "we," "us," "our") respects your privacy. This Privacy Policy explains how we collect, use, share, and protect personal data when you use hopmembers.com and related services (the "Service"), including when a merchant connects a Shopify or WooCommerce store.
HopMembers is the organisation responsible for personal data processed to operate the Service. Contact: info@hopmembers.com.
2. Who this applies to
- Creators / merchants — people who create HopMembers accounts to sell memberships, products, or courses, manage channel access, and optionally connect a store (including Shopify or WooCommerce).
- Members / buyers — people who purchase or join creator offers on HopMembers, or who buy mapped products on a connected store and receive community access through HopMembers.
- Website visitors — people browsing marketing or public pages.
3. Information we collect
- Account and profile data: name, email address, phone number (optional), country, profile image, and similar details you provide.
- Authentication data: we use passwordless email one-time codes and Google sign-in. We do not operate a traditional password store for HopMembers accounts.
- Billing and transaction data: subscription status, invoices, payout preferences, and transaction metadata. Card payments are processed by Stripe; we do not store full card numbers on our servers.
- Creator page and commerce data: pages you create, pricing, orders, members, product→channel mappings, and related business records needed to run the Service.
- Store integration data (Shopify and WooCommerce): when you install or connect our app, we may collect and process:
- From the merchant: HopMembers account link, shop domain / site URL, OAuth access and refresh tokens, authorised API scopes, and product-to-channel mappings you configure in HopMembers.
- Through Shopify (or WooCommerce) APIs and webhooks: product and variant catalogue data; order and line-item data; and customer contact details needed to fulfil mapped access (typically email and name when available under Shopify protected customer data rules). We request only the scopes required for the integration (for example reading products, orders, and customer data needed for fulfilment).
- From store buyers: we do not place HopMembers tracking cookies on the merchant's Shopify storefront for this integration. Buyer personal data reaches us via the store platform APIs/webhooks after purchase of a mapped product, for the purpose of creating or updating a HopMembers account, sending access instructions (for example a magic link), and granting or revoking community channels. We do not treat the store checkout phone number as a verified WhatsApp identity; WhatsApp access may remain pending until the buyer confirms a number in HopMembers.
- Channel identifiers: where you connect Telegram, Discord, or WhatsApp, we may store channel IDs, invite links, and member platform IDs needed to grant or revoke access.
- Usage and device data: IP address, approximate location derived from IP, browser type, pages viewed, and similar diagnostics when you use hopmembers.com.
- Communications: support emails and messages you send us.
- Cookies and similar technologies: see Cookies below (on hopmembers.com; not as part of the Shopify storefront pixel for this app).
4. How we use information (purposes and legal bases)
- Provide the Service (contract): create accounts, run pages, process memberships, manage access, and customer support.
- Store-connected fulfilment (contract / legitimate interests): match paid store orders to product mappings; create or update buyer accounts; grant Discord, Telegram, or WhatsApp access; revoke access on refund, cancel, or similar events; send transactional access emails.
- Payments and subscriptions (contract / legal obligation): bill creator platform subscriptions, facilitate member checkout via Stripe, prevent fraud.
- Communications (contract / legitimate interests / consent): send transactional emails (login codes, receipts, billing, access instructions). Marketing emails are sent only where permitted; you can unsubscribe.
- Privacy and compliance requests (legal obligation): respond to individual rights requests and to Shopify mandatory privacy webhooks (see below).
- Analytics and product improvement (legitimate interests): understand how the Service is used, including via analytics and advertising cookies on hopmembers.com.
- Security and abuse prevention (legitimate interests / legal obligation).
- Legal compliance (legal obligation): respond to lawful requests and keep required records.
We do not sell personal data. We do not use Shopify customer data for purposes unrelated to providing the HopMembers store-integration service (for example unrelated advertising profiles).
5. How we share information
We share personal data with processors and partners only as needed:
- Stripe — payments, subscriptions, and payouts. See Stripe Privacy Policy.
- Shopify — when a merchant installs our Shopify app, data flows between the merchant's Shopify store and HopMembers under the scopes the merchant authorises. Shopify's processing is also subject to Shopify's terms and privacy notices for merchants and buyers.
- WooCommerce / merchant hosting — when a merchant connects WooCommerce, order and product data is retrieved from their store under the credentials they provide.
- Email providers (for example Brevo) — transactional and permitted marketing email.
- Cloud hosting and storage (for example AWS) — application hosting and file storage.
- Analytics and advertising partners — such as Google Analytics / Tag Manager / Ads, Meta, and X (on hopmembers.com).
- Channel platforms — Telegram, Discord, and WhatsApp APIs as needed to connect communities and manage access.
- Creators / merchants — if you are a member or store buyer receiving access, the creator whose offer or mapped product you bought may receive order and membership details needed to fulfil access (for example email and membership status).
- Legal and safety — when required by law or to protect rights, users, or the Service.
Creators may place their own tracking pixels on their public HopMembers pages. Those tools are controlled by the creator and subject to their notices.
6. Shopify privacy webhooks and data rights requests
For the Shopify public app, we subscribe to Shopify's mandatory compliance webhooks and process them as follows:
- customers/data_request — we locate personal data we hold relating to the customer (for example account email and membership records tied to the shop) and provide it to the merchant or respond as Shopify requires so the merchant can fulfil the request.
- customers/redact — we delete or anonymise personal data we hold for that customer that is no longer needed to provide the Service or meet legal retention duties.
- shop/redact — after uninstall and the Shopify-mandated waiting period, we delete or anonymise shop connection data and related personal data for that shop that is no longer required.
Merchants and individuals may also contact us at info@hopmembers.com for access, correction, deletion, or other privacy requests. We may need to verify identity and the relevant shop or account.
7. International transfers
Our providers may process personal data in countries other than the one where you live, including outside the European Economic Area / United Kingdom. Where required by applicable law, we use appropriate safeguards offered by those providers (for example standard contractual clauses or equivalent transfer mechanisms).
8. Cookies and similar technologies
By using hopmembers.com, you agree to our use of cookies and similar technologies as described below.
We use:
- Essential cookies — required for sign-in sessions, security, and core site functionality.
- Analytics and marketing cookies — help us measure traffic and run advertising (for example Google, Meta, X) on hopmembers.com.
You can block or clear cookies in your browser settings, or contact us. Blocking cookies may affect sign-in and other features.
9. Retention
We keep personal data only as long as needed for the purposes above, including account life, transaction history, security logs, legal retention requirements, and store fulfilment records. When a shop uninstalls our Shopify app, we process shop/redact as required by Shopify. Customer redaction requests are handled via Shopify webhooks or direct requests to us. When no longer needed, we delete or anonymise data where practicable.
10. Security
We use reasonable technical and organisational measures to protect personal data, including encrypting store access tokens at rest where implemented. No method of transmission or storage is completely secure.
11. Your rights
Depending on where you live, you may have rights under applicable data protection laws (for example access, correction, deletion, restriction, objection, or portability).
To make a request, email info@hopmembers.com. Store customers may also raise requests with the merchant, who can trigger Shopify's compliance webhooks. We may need to verify your identity. We aim to respond within a reasonable time and, where a specific legal deadline applies, within that deadline.
You may also have the right to lodge a complaint with your local data protection authority.
12. Children
The Service is not directed to children under 16. We do not knowingly collect personal data from children under 16. If you believe a child has provided data, contact us and we will take appropriate steps.
13. Changes
We may update this Privacy Policy from time to time. Material changes will be posted on this page and, where appropriate, notified by email or in-product notice. The "Last updated" date above shows the latest revision.
